Where You’ll Be Working
Avalon Mechanical has offices in Victoria, Nanaimo, and Vancouver. The Victoria office is situated in a high-performing green building in Esquimalt with large windows, an atrium for natural light and ample bike rack space for commuters.
The Nanaimo office is in Pacific Station, North Nanaimo and has abundant natural light from floor-to-ceiling windows.
The Vancouver office is in the downtown area near Canada Place and the waterfront. It offers easy access to public transportation and parks, large windows, open-concept layouts, meeting spaces, and ergonomic workstations.

Accounts Administrator – Victoria, BC

Established in 1984, Avalon Mechanical has grown into an industry recognized Mechanical Engineering Consultancy firm. Specializing in Mechanical Design Systems for HVAC, Plumbing, and Fire Suppression, we have completed thousands of projects in a range of industries. With offices in Victoria, Nanaimo and Vancouver, our team is growing, and we are looking to add to our complement of skilled and knowledgeable Engineering design professionals.
The Position
Avalon Mechanical Consultants Ltd. currently has an opening for an Accounts Administrator position in our Victoria office to start immediately. This exciting position is an integral part of the Avalon team, providing accounts receivables support to our team of engineering professionals and administrative staff. The role will require adapting to changing demands, the ability to organize, prioritize, and complete daily tasks, and problem solve with confidence as required. The Accounts Administrator liaises with Project Managers on project financials, reviewing and analyzing account statements, managing deposits, and resolving bank discrepancies and financial disputes. They are responsible for efficient and accurate payment processing across the company. They will conduct account reconciliations to ensure accuracy and completeness of receivable balances. They will also prepare and analyze accounts receivable reports to provide insight to project managers.
Compensation and benefits for this position are to be discussed with applicants on an individual basis. The salary range is between $28-$32/hour depending on experience.
Candidate Requirements
- A minimum of 2 years in an accounts role, in an office environment is preferred.
- Proficient computer skills, including Microsoft Office Suite (Outlook, Word, and Excel).
- Experience with Quickbooks an asset.
- Experience with Square is considered an asset.
- Knowledge of BQE CORE software is considered an asset.
- Completion of courses in Business Administration an asset.
- Highly organized and able to manage workflow efficiently and independently.
Ideal Candidates will possess the following:
- Ability to deal with recurring activities while following standardized processes.
- Excellent time management, written and verbal communication skills.
- Team player with a positive attitude.
- Willingness to learn and to grow with the company.
- Excellent customer service and relationship building skills.
- Adaptable and flexible with the ability to prioritise work.
- Knowledge of the building, construction, and engineering industry and processes is beneficial.
Key Job Responsibilities:
- Responsible for all accounts receivable processes, including billing, collections, payments, and reports.
- Support the project managers with project financials.
- Process purchase orders and contracts.
- Support project cost control throughout project timelines.
- Monitor outstanding project and client accounts receivables.
- Act as first point of contact to clients, answer inquiries, and deliver excellent customer service.
- Develop and optimize billing and accounts processes.
- Address accounts receivables inquires and perform other duties as required to support company-wide accounts.
